Dear Prospective Vendor,
We are thrilled to invite you to join us for the Walnut Hill Christmas Market on Saturday, December 14th, 2024. This family-friendly event will be a wonderful opportunity for Christmas shopping and entertainment, bringing joy to both our school and the community.
The Christmas Market will feature performances by different clubs, free photos with Santa and Mrs. Claus, an appearance by The Grinch, bounce houses, Christmas crafts, and games. Your participation will not only provide a delightful experience for our attendees but also support our school and future events.
By joining us, you will have the chance to showcase your products or services, meet our community, and connect with families. We are excited to see the unique offerings you will bring to this festive occasion.

Outside Vendor Space:
- 10x10: Non-Food Sales: $35
- 10X10: FOOD Vendor: $45
- 20x10: Non-Food Sales: $45
- 20X10: FOOD Vendor: $55
- Inside Vendor Space: NON-Food Sales (1 space = 6ft Table)
- 1 spaces (6ft table): $40
- Each additional table: $10 (maximum 2 tables)
- Food Truck Vendors Outside Parking Lot: $45
- Food Vendor Inside Space:
- 2 spaces (6ft table): $50
- Each additional table: $10 (maximum 4 tables)extracurricular activities, including sports teams, music and drama programs, and clubs and organizations.

Important Terms and Conditions:
By participating in the Walnut Hill PTA Christmas Market, vendors agree to the following:
- Prohibited Items: Vendors are strictly forbidden to display, imply, or sell items related to sex, racism, political views, drugs, alcohol, tobacco, weapons, or profanity. This is a family event at a school. If prohibited items are brought Vendors will be asked to remove them for sale to the public. Failure to do so will result in removal from the event and forfeit of fee.No Guarantee of Sales: The event organizers do not guarantee that vendors will make any sales during the event.
- Contact Restrictions: Vendors are not allowed to contact the school for any reason. If a vendor contacts the school, they will not be allowed to set up and will forfeit their vendor fee.
- Event Cancellation: The event will proceed unless road conditions prevent it from taking place. The event will be rescheduled if weather conditions are dangerous or roads are hazardous.
- Vendor Cancellation: Vendors may cancel by Monday, December 9th, 2024, by 5:00 PM for a 50% refund. All cancellations after the deadline will forfeit the vendor fee. There will be no refunds for cancellations after the deadline, even in emergencies. If the event is rescheduled, vendors who cannot attend the new date will receive a 50% refund.
- Parking Information: Vendors may park in the side parking lot. Directions will be provided.
- Setup and Cleanup:
- Vendors may begin setting up at 9:00 AM on the day of the event. All vendors must be completely set up and operational by 12:00 PM.
- Indoor vendors: Doors will open at 9:00 AM for setup.
- Outdoor vendors: Gates will open at 9:00 AM for setup.
- No stakes are allowed for popup tents; please use other means to secure tents.
- Electricity Access: There is access to electricity.
- Vendors located inside will need to bring extension cords and power strips.
- Outside vendors will have access to 2 outside electrical outlets and 2 generators; you will need to bring extension cords and power strips.
- Outside food vendors will be assigned a parking space for their food truck. There will be no Electrical Access for Food Trucks
- Cleanup: Vendors must clean up all trash and place it in bins provided. All vendors must be completely cleaned up and vacated by 6:30 PM.
- WiFi: WiFi is available
- Hotspots are encouraged as the bandwidth will be slower due to the number of people using credit card sales.
- Space Limitation: Space is limited. All spots are first come, first served.
- Food Vendors is Limited 8 Total Spots
- 4 spots available for Indoor Vendors
- 4 spots available for Indoor Vendors
- Non-food vendors is Limited to 20 Total Spots
- 10 spots available for Indoor Vendors
- 10 Spots Available for Outdoor Vendors.
- Food Vendors is Limited 8 Total Spots
- Prohibited Food Items: Food vendors are prohibited from selling water, sodas, coffee, hot chocolate, popcorn, nachos, cookies, and cupcakes
- Food Vendor Submissions: Food vendors must submit the items they intend to sell to ensure there are no duplicates among vendors.

Health and Safety Requirements:
- Compliance: All vendors must comply with local health and safety regulations, including food safety standards for food vendors.
- Food Handling: Food vendors must ensure that all food items are prepared and stored according to health guidelines to prevent contamination.
- Sanitation: All vendors are responsible for maintaining the cleanliness of their assigned spaces. Waste must be disposed of properly in designated bins.
- Fire Safety: Vendors using electrical equipment or open flames (e.g., food trucks) must have appropriate fire safety equipment, such as fire extinguishers, and comply with fire safety regulations.
- COVID-19 Protocols: If applicable, all vendors must adhere to any COVID-19 guidelines in place, such as wearing masks, providing hand sanitizers at their booths, and ensuring social distancing.
- Inspection: The PTA reserves the right to inspect vendor setups to ensure compliance with these health and safety requirements. Non-compliance may result in the vendor being asked to leave the event without a refund.
Liability Waiver:
- Assumption of Risk: Vendors acknowledge and accept all risks associated with participating in the event, including but not limited to personal injury, property damage, or loss.
- Indemnification: Vendors agree to indemnify and hold harmless Walnut Hill International Leadership Academy, Walnut Hill PTA, and all event organizers from any claims, damages, losses, or expenses arising from their participation in the event.
- Insurance: Vendors are encouraged to carry their own insurance to cover any potential risks.
- Responsibility for Goods: Vendors are solely responsible for their goods and materials. The school and PTA are not liable for any loss or damage to vendor property.
- Emergency Procedures: Vendors must adhere to all emergency procedures as instructed by the event organizers. This includes evacuating the premises if necessary.
- Acknowledgment: By signing this agreement, vendors acknowledge that they have read, understood, and agree to comply with these terms and conditions.
